Who are we looking for?
We are looking for a hands on temporary HR Executive to support payroll, HR Operations, and on going audit initiatives across South East Asia. This role will provide critical backup to the HR team and ensure continuity during a period of increased workload and overlapping priorities.
What will you be doing?
Payroll & HR Operations
• Manage end-to-end payroll for Malaysia
• Support payroll data preparation, validation, and submission during payroll cycles
• Provide backup support for SEA HR operations (including coverage for team members during leave or travel)
• Maintain and update employee records, ensure proper documentation and data accuracy
• Support planning and coordination of employee engagement activities and events (logistics, vendor coordination, communications)
• Track participation and collect post – event feedback
• Raising purchase order, support on payment related process for HR direct purchases
Projects & Process Support
• Support payroll outsourcing project and e-leave system migration, including coordination of data and documentation
• Assist in developing, updating, and documenting HR policies, procedures, and guidelines (with focus on labour and ethics compliance) Audit Initiatives
• Support RBA – related initiatives, including tracking corrective action plans and following up with stakeholders for timely closure
• Assist in preparation for audits and re-audits, including documentation readiness and coordination of on-site audits
• Manage and coordinate site and customer audits, ensuring readiness, documentation accuracy and stakeholder alignment
• Maintain a legal register to track updates and changes in labour laws, ethics standards, RBA requirements and relevant regulatory frameworks
• Keep abreast of changes in labour, ethics, RBA, and regulatory requirements, and support the team in implementing necessary updates
• Respond to labour and ethics-related questionnaires from commercial teams
Data Analysis
• Maintain and ensure data accuracy in HRIS and ATS platforms such as: SAP SuccessFactors
• Ensure data integrity and compliance with Singapore PDPA (Personal Data Protection Act).
Work Permit & Visa Administration
• Manage work permits and visa applications for expatriates and foreign employees in Singapore & Malaysia.
• Liaise with relevant government authorities and service providers.
Who are You?
- Diploma/Bachelor's Degree in Human Resources, Business Administration, or related field
- Minimum 3-4 years of HR experience including payroll and HR operations in a manufacturing environment
- Familiarity with HR compliance, audits (RBA), compliance registers and documentation processes is a plus
- Familiar with ATS/HRIS system/Payroll Systems
- Ability to handle confidential information with integrity
- Strong attention to detail, organizational and coordination skills
- Proactive, adaptable, and able to work independently in a fast-paced environment
What competencies will you need?
- Strong knowledge of Singapore Employment Act/Malaysia JTKSM and statutory regulations.
Proficiency in payroll processing and statutory submissions. - Hands-on experience with:
