Who are we looking for?

  • The incumbent will serve as the primary point of contact for customer inquiries, order processing, and follow-ups for APAC region (inclusive of Asia and Australia), including coordinating with internal departments (E.g logistics, customer service, sales) ensuring timely and accurate order fulfillment.

What will you be doing?

Sales and Customer Support

  • Be the central coordinator between commercial, operations and the 3rd party toller in Australia for sales order management, order fulfilment, and inventory management.
  • Be responsible for order entry, pricing maintenance and validation.
  • Prepare sales reports for commercial team to review.
  • Support the sales team with administrative tasks, quotations, and documentation.
  • Maintain and update customer records in the ERP System. Includes customer creation and setup, obtain information on payment, bank details, credit limits.
  • For customer credit application/ amendment, submit application in Sharepoint.
  • For special credit release request from customers, submit special release application form on Sharepoint for finance review and approvals. Follow up on deliveries upon approvals.
  • For customer sample analysis requests, inform toller/Singapore TS lab on the incoming customer samples and liaise with customer for any collection (eg. Transport cases) when needed.

Supply Chain coordination (Australia specific)

  • Assist in demand planning and supply forecasting based on sales trends.
  • Manage product and material inventory levels to the desired stock levels using the MRP system, and coordinate stock replenishments as required.
  • Liaise with the 3rd party toller in Australia and internal operations team to ensure timely and cost-effective deliveries.
  • Track shipments and resolve any delivery issues or delays with operations team
  • Support administrative activities, including label preparation when needed.
  • Ensure customer requirements are communicated to internal commercial team and supply chain team for review and implementation where needed.
  • Monthly KPI reporting on inventory, stock movements, defect/ quality complaint, OTD reporting. 

Purchasing from Singapore and UK

  • Issue POs from NA SAP to Singapore or Wigan in UK to purchase Raw materials and finished goods (refer to AWC exhibit)
  • Enter intercompany SOs from NA SAP to Singapore JDE system.
  • Coordinate with Singapore logistics team and Wigan logistics team for respective shipment information and documents.
  • Liaise with toller in Australia to confirm the details of raw materials (from Singapore) and finished goods (from Wigan), perform goods receiving in SAP. 

Planning and Inventory Management

  • Supporting inventory reconciliation on monthly basis.
  • Perform stock transfers between branch plants in SAP.
  • Upon demand review (based on new SO/ Min Max safety stock levels), issue Subcon POs from NA SAP to the toller for production of finished goods, performing inventory receiving after completion of production.
  • Liaise with toller for batch test results (toller COA) to be vetted and approved by Singapore QC team. Singapore QC to issue final product COA.

Delivery

  • Confirm inventory availability based on SO requirement.
  • If available, release pick slip and COC in SAP. Send both documents to toller to confirm physical quantities, and to proceed with packing.
  • Liaise with toller to confirm packing completion date, release Delivery note (DN) in SAP, email the DN and COC to customer and toller.
  • Toller will provide Proof of collection (POC) (self-collection from customer) or Proof of delivery (POD) (signed by customer), based on the POC/POD, issue invoice in SAP and email to customer or load to customer’s portal. 

Who are You?

  • Diploma or Degree in Business Administration, Supply Chain Management, or related field.
  • 3+ years of experience in sales coordination and/or supply chain operations.

What competencies will you need?

  • Proficient in Microsoft Office
  • Must have proficiency in using SAP and added advantage if prior experience in using JDE systems.
  • Strong communication and interpersonal skills.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Analytical mindset with attention to detail.
  • Comfortable working independently as well as possessing a collaborative, seeking a win-win outcome.
